PowerHouseATX Policies

This page is a short public summary of the main scheduling, billing, credit, and app policies. The purchase agreement, waiver, portal or checkout terms used at purchase time, and appointment descriptions contain the full terms.

Booking & Attendance

Session rules

What happens when you book, cancel, reschedule, or need a make-up option.

Cancellation

Sessions canceled or missed with less than 24 hours notice are forfeited.

  • 24+ hours notice lets you move the session into another posted available slot, subject to availability and package rules.
  • Less than 24 hours notice, late cancellation, or no-show: the session is forfeited.
  • Forfeited sessions are not refunded and not replaced.

Subscription cancellation

Canceling a membership stops future renewals; remaining credits stay available until they expire.

  • Cancel through the client portal or Stripe Billing Portal before the next billing date to stop the next charge.
  • Unused credits from your current billing cycle remain on your account until their expiration date.
  • Future membership-future reservations are canceled when the subscription ends.
  • Past charges are not refunded unless PowerHouseATX approves an exception in writing.

Semi-private 25 drop-in

25-minute semi-private drop-ins are billed at the published semi-private drop-in rate.

  • Semi-private 25 drop-ins share the same checkout package as other semi-private drop-ins.
  • Availability still depends on posted schedule capacity.

Reschedules

A reschedule moves an existing session; it does not create extra availability.

  • Reschedules must fit into posted availability.
  • The package or membership rules still apply.
  • Approved reschedules during the final 7 days before credits expire may receive a staff-issued 7-day make-up credit.
  • Make-up credits are one-time exceptions; they do not change normal credit expiration rules.

Scheduling

Buying training credits and reserving appointment times are separate steps.

  • A paid package, membership, or credit balance does not guarantee a recurring appointment time.
  • A recurring time is only guaranteed if it is separately booked or confirmed in writing by PowerHouseATX.
  • In semi-private sessions, the first client to book anchors the posted time slot.

Credits & Packages

Package rules

How Ramp-Up, memberships, flex packs, drop-ins, and app access work.

Ramp-Up

Ramp-Up is temporary 1-1 onboarding for new clients after the free first session.

  • Ramp-Up credits expire 1 month after purchase.
  • App access is included during Ramp-Up.
  • Ramp-Up is a one-time onboarding offering.
  • Any extension requires PowerHouseATX approval.

Monthly memberships

Monthly memberships are recurring training plans for consistent clients.

  • Auto-pay with a card on file is required.
  • A new credit allotment is issued each billing cycle.
  • Unused credits do not roll over unless PowerHouseATX approves a written exception.
  • Membership payments are non-refundable unless PowerHouseATX approves an exception in writing.

Flexible options

Flex packs and drop-ins are for occasional training, not recurring schedules.

  • Flex packs are one-time 4-credit purchases.
  • Flex pack credits expire 45 days after purchase.
  • Flex packs do not reserve a recurring appointment time.
  • Drop-ins are paid at booking and are subject to schedule availability.

Fitness App

CoachRx app access depends on which training option you are using.

  • Fitness App Subscription is a public monthly option with no in-person training credits.
  • Semi-Private App Add-On is for current semi-private clients after approval.
  • App access is included with Ramp-Up 1-on-1 and 1-1 Training.

Billing & Exceptions

Billing rules

How renewals, travel, and hold requests are handled.

Auto-renewal

Memberships and app subscriptions renew until they are canceled.

  • Memberships and app subscriptions renew automatically until canceled.
  • To stop the next charge, use the client portal or Stripe Billing Portal when available, or contact PowerHouseATX before your next billing date.
  • Legacy purchases are handled by PowerHouseATX during account migration and do not create a separate client booking path.
  • Canceling stops future renewals; it does not refund past charges unless PowerHouseATX approves an exception in writing.

Travel

Travel does not change billing, credit expiration, or schedule rules by itself.

  • Travel by itself does not pause billing.
  • Travel by itself does not roll credits forward.
  • Clients are responsible for rescheduling into posted availability before credits expire.
  • Clients who travel often should ask about private options before purchasing.

Membership hold requests

A hold is a written request to pause a recurring membership billing cycle.

  • A hold is not automatic.
  • A hold is only approved when PowerHouseATX confirms it in writing.
  • The written approval must state what is paused and the approved date range.
  • A hold does not reserve a calendar spot unless that is specifically documented.
  • If no hold is approved, cancel before your next billing date and restart when ready.
